For Access to the Maths Linux system

Also known as the maths research system.

Access to the maths linux system (and other resources)
 

  •   Supervisors:  You no longer need a maths linux login to access the undergrad supervision system to offer or accept supervision requests.  Please contact the maths undergraduate office to be added. 
     
  • Professional Services Staff:  Your line manager fills out this form to arrange your access.  They email the maths Helpdesk for any other resources you need to access and to arrange for your IT induction.     (You do not need to apply for University Email or a University Account - these are given to you)
     
  • Academic staff (whose contract is with maths)  You can apply for your own access or another academic in your research group can apply for you. Alternatively your group/pavilion secretary can fill in the form on your behalf.  In DPMMS the head of department's PA often assists with this.    Here is the form.  (You do not need to apply for University Email or a University Account - these are given to you)
     
  •  Research staff whose contract is with maths: Usually someone who owns the resources you need access to applies for your access. In DPMMS sometimes you or the Head of Department PA fills out the form where there is no specific research group.  If you prefer you can fill out your own form and list your PI as sponsor.    Here is the form.    (You do not need to apply for University Email or a University Account - these are given to you)
     
  • College Research Fellows and College Teaching officers:  Usually someone who owns the resources you need access to applies for your IT access.  If you have had access before and are renewing it then you may prefer to fill out the form yourself.  Here is the form.   
     
  • Research staff whose primary contract is with a department other than DAMTP/DPMMS:  Usually someone who owns the resources you need access to applies for your IT access.  If you have had access before and are renewing it then you may prefer to fill out the form yourself.  Here is the form.     (You do not need to apply for University Email or a University Account - as your own department arranges  those.)
  •  DAMTP or DPMMS Research or mphil student:  Usually your supervisor will apply for any access you need.   If you know what you need or they ask you to then you can fill out the form yourself listing them as the sponsor.     Here is the form.    (You do not need to apply for University Email or a University Account - these are given to you)

    If you receive an account close message before you have completed your PhD then please contact the maths postgraduate office in the first instance.  Once they have updated your student record your maths login will continue to function. 
     

  • Students from other departments, universities or PartIII students:  If access is needed to the maths linux system then  it must be sponsored. The DAMTP / DPMMS academic who has agreed to the IT resources fills out the form.  This person must be listed on the maths profile webpages under academic.  Here is the form.    (You do not need to apply for University Email or a University Account - your own department/college arranges these).
     
  • Visitors:  Here for over a week - a visitors agreement must be in place.  If you need any IT resource your host will fill out the IT resources form.  If as part of this you need access to the maths linux system you discuss with your host.  Please send your host this link.   If your visit has been extended then after your new visitors agreement is in place you or your host need to fill out the IT resources form so your access to resources can be extended. 
     
  • Leavers:  To keep access you or an academic from your research group must fill out an application form.   If you decide to fill it out yourself you must list the academic as your sponsor. They should be in the same research group as you.   If you are in DPMMS without a research group then list the maths academic you work with or contact the Head of Department's PA.   Link to form
     
  • Collaborators (This is a generic term and is covering all those who are off site and neither maths staff nor student and need access to IT resources):   A maths academic must sponsor your access.  They fill out the application form. If the collaboration is a renewal then you may prefer to fill it out yourself. In that case list them as sponsor as they need to approve. Link to form
     
  • Everybody else: Please contact the head of department's PA for advise on whether or not you need a visitors agreement.  If you do then follow the visitors instructions. If you do not then follow the collaborator instructions. 
     

    Issues

    If your situation is not covered above or you need further assistance then please contact the maths helpdesk (help@maths.cam.ac.uk) for IT enquiries. For admin enquiries like visitors agreements contact the head of department PA. 

    If your submitted form is taking over a week to process then the head of department PA, a damtp pavilion or group secretary or the maths helpdesk can advise you on where the hold up is.  (Please only email one address).  If the delay is likely to cause your login to close (as in its within five days of closing)  then email the maths helpdesk copying the person who agreed to your access. 

    If you are requesting University email or a webpage and are not a current member of this university or leaving soon then the head of department will need to sign off your request.   For other requests from those who are not members of DAMTP/DPMMS  the head of department office must also agree to them.   The form gives space for explanations for why the resource is required.   Allow time for this.

Contact:

People who are not current university  staff / student must tell us if their contact email address changes. This address is used for list subscriptions and for IT to contact you. 

 

 

Account Closing:
 

We try to contact you before your login is closed.  If we do not have your current email stored we cannot do this (see above).  Home directory data is deleted six months after account closure.  If your login is reopened up to six months after you leave the onus is on you to request your data is retrieved from storage.

Conditions

  •  We expect you to log into the account frequently.  Logins not touched in half a year will be closed. Tell us if you no longer need the login
  • And our Acceptable Use Policy.  You must agree to this by email if you are requesting a maths linux login.  Those emails are dated and saved.  The maths helpdesk will contact you about these after they have received your application and all its authorisations are in place.
