Leaving the Department
If you receive any communication saying your maths login is closing
It's a mistake and you are not leaving
Staff / Student of DAMTP/DPMMS
If you are current staff / student check your faculty record is up to date in the the self service.
If it is then reply to the email to tell this to maths IT who will update your account record with the details in your self service record.
If it has incorrect dates on it then contact the Maths HR office (staff) or maths postgraduate (students) to discuss your record dates. Once the record is updated then reply to IT's email.
If time is tight your PI / Supervisor can email IT vouching for the dates that should be on your record.
Other person with a login
Pass the email to your host / person who arranged your access. They follow the instructions on this page if they decide you need to keep access.
Leaving but need to keep your maths login.
This must be arranged by your PI, supervisor, host or manager. They follow the instructions on this page . Nobody is allowed submit their own request for access.
Things to do if leaving the Department
- Your web and profile web pages will close when you leave. If you need to display a CV please do so on an external site. Keeping your maths login does not keep these pages open after you leave.
- If you have a department email address it will close a few weeks after you leave.
- You will be unsubscribed from cms-all, your department list, status list and pavilion list on your last day.
Maths Linux Login
If you have a maths linux login...
- Copy any data from public store spaces. Then delete it to make space for others.
- Work with your host/PI/supervisor to decide what needs to be kept in group store spaces. Ensure people have access to that data.
- If you have an academic need to keep access to the maths linux system after you leave then apply for collaborator access.You will need to give reasons.
- If you need the exact date your maths linux login will close then contact your group/pavilion secretary (DAMTP) or the Head of Department's PA (DPMMS). Or the maths helpdesk.
- Take a copy of your homedirectory's important files. They will be archived a few months after you leave and deleted six months after your account closes.
Reopening closed accounts - where are my files?
If your login is closed your home folder files will be archived. Later they are deleted - usually within six months of the login closing.
If you request your login is reopened and your files are not there when you log into the system then they are either archived or deleted. If they are deleted we cannot retrieve them. If they are archived we can but you must apply promptly.
Research Group Matters
- If you manage a maths website make sure there is another manager and that IT have added them to the list. Websites with no managers are shut down and deleted.
- If you run a mailing list find another admin for it or arrange for you to be an external admin.
- If you have a role email alias or shared mailbox arrange for it to be closed or passed to someone else.
- DAMTP: Your pavilion/group secretary manages your research group mailing list. The head of research group decides who is a member of their list. External email addresses can be added to these lists.
- Notes for supervisors who have research student leavers and PIs who have research staff leaving.
Leaving the University
- The University Information Services (UIS) manages your Email and University Account (Raven) login. They will contact you about those. Read their email carefully.
- What happens when you leave and things to do before you leave.
- Your Microsoft OneDrive files will be deleted. If you are sharing any with your group then you need to move them to SharePoint.
- Check if you are using any other storage services. Tidy your data. Pass to others data that must be kept.
- If you are retaining access to the University's HPC you must update your contact address
- If you need access to your University Email / University Account beyond the latest date given to you in your email from the University Information Services that is a matter for your Head of Department. The procedure is that you speak with an academic in your research group or the business and operations manager if you do not have a research group. If they agree they make a case on your behalf to the the head of department.
